Personal Data Collection Terms

1. Who we are

Kokoro Solutions Limited (“Kokoro Solutions”, “we”, “us”) is a software development and IT consulting company registered in Jamaica, with offices at Level 9, PanJam Building, 60 Knutsford Boulevard, Kingston 5, Jamaica. For the purposes of the Jamaican Data Protection Act, 2020 (the “DPA”), we are the data controller for personal data collected through this website.

2. What personal data we collect

This website does not use contact forms, advertising trackers, or analytics cookies. We collect personal data only when you choose to contact us:

• Consultation bookings — when you book a consultation through our Microsoft Bookings calendar, Microsoft collects your name, email address, and any details you include about your enquiry, and shares them with us to schedule and hold the meeting.
• WhatsApp, phone, and email — when you contact us directly, we receive the contact details and message content you send us.
• Theme preference — your light/dark mode choice is stored in your own browser (localStorage). It never leaves your device and does not identify you.
• Server logs — like most websites, our hosting infrastructure records basic technical logs (IP address, browser type, pages requested) for security and troubleshooting.

3. Why we collect it and our lawful basis

• To respond to you and provide services — processing necessary for steps taken at your request before entering a contract, and for performing a contract with you.
• To keep our website and systems secure — our legitimate interests in protecting our infrastructure.
• To meet legal obligations — where laws applicable to us require record-keeping.

We do not sell personal data, and we do not use it for automated decision-making or profiling.

4. Who we share it with

We share personal data only with service providers that help us operate:

• Microsoft — our booking calendar, email, and meetings run on Microsoft 365. Microsoft processes booking details under its own privacy statement.
• Meta (WhatsApp) — if you contact us on WhatsApp, your messages are handled under the WhatsApp privacy policy.

These providers may store data outside Jamaica. Where personal data is transferred internationally, we rely on providers that offer protections consistent with the DPA's requirements for overseas transfers.

5. How long we keep it

We keep enquiry and booking correspondence for as long as needed to handle your matter and for a reasonable period afterwards (typically no more than 24 months after our last contact), unless a longer period is required for a contract, a legal obligation, or a dispute. Server logs are retained on a short rolling basis.

6. Your rights under the DPA

Subject to the conditions in the DPA, you have the right to:

• ask whether we hold personal data about you, and access it;
• have inaccurate personal data rectified, blocked, erased, or destroyed;
• object to processing likely to cause you damage or distress;
• object to direct marketing (we don't send any unless you've asked us to);
• withdraw consent where processing is based on consent.

To exercise any of these rights, email info@kokorosolutions.com. We will respond within the timeframes set by the DPA. If you are not satisfied with our response, you may complain to Jamaica's Office of the Information Commissioner.

7. How we protect it

Privacy-focused engineering is one of our founding principles. We apply appropriate technical and organisational measures — encrypted connections (HTTPS), access controls, and confidentiality obligations for our team — and we collect the minimum data needed to work with you. Project information you share with us is treated in the strictest confidence.

8. Changes to these terms

If we change how we collect or use personal data, we will update this page and revise the effective date above. Significant changes will be highlighted on our homepage.
